Job Description

The School of Life Sciences seeks a qualified and detail-oriented individual to fill the position of Coordinator. This position will support the Undergraduate Programs Office within the School in a fast-paced environment. This position requires strong communication skills, good judgement, decision-making abilities, initiative and the ability to follow through with tasks.

Essential Duties

• First point of contact for UG Programs office communications (phones, foot traffic, SalesForce)
• Monitor Salesforce for all Undergraduate Programs operational requests and assign emails to others as needed.
• Communicate with faculty as needed preparing announcements, and other departmental informational communications on behalf of the ADs of UG Programs
• Assess and determine functionality, needs for, and improvement of SOLS classrooms and instructional laboratories, when needed and in coordination with SOLS Facilities and Operations and Undergraduate Programs.
• Manage, organize, and share end of course survey data and teaching evaluations with instructional faculty and Teaching Assistants.
• Collect, organize, and maintain all records and tracking relevant paperwork for hiring and instructional assignments, working with the Associate Director of Undergraduate Programs.
• Create, update, and maintain written and accessible SOPs for all procedures and processes within Undergraduate Programs Operations.
• Prepare and submit Undergraduate Programs Changemaker Curriculum requests.
• Orders supplies or equipment in accordance with guidelines.
• Provide support for new employee onboarding to include preparing workspace, ordering business cards, name badges, and assisting with resources.
• Execute and coordinates office operations such as office moves, meetings, conferences, training, workshops, convocations, and/or special events.
• Assist the Scheduling Coordinator, Sr. as needed.
• Produces meeting agendas, coordinates location and invitations, produces and distributes minutes for assigned meetings, events, and trainings.
• Respond to inquiries by providing information requiring comprehensive knowledge of university policies and procedures; interprets administrative decisions and policies to other staff and constituents
• Other tasks and duties as assigned by the SOLS Associate (or Assistant) Director of Undergraduate Programs.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

• Experience using MS Office Applications (e.g. Word, Excel, and Outlook) and SalesForce
• Experience collecting, storing, and maintaining data information

• Experience in establishing and maintaining effective working relationships with peers, faculty, students, administration, and others

Working Environment

• Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work
• Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
• Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
• This position receives regular review of objectives by department administrator.
